Before you book or arrive

The hotel website doesn't clearly say the policy. How do you confirm it?

Contact the specific hotel using the details on its official page or your booking confirmation. Ask the front desk or the team responsible for your question, and give your stay dates and relevant booking details. Confirm the amount, how it's charged, and any conditions. For a special arrangement, ask whether it's confirmed or only requested, and get important details in writing. Check your booking terms too, especially for cancellation and payment questions.

If you'd rather not make the call, Callio can phone the hotel, ask your policy questions, and report what staff confirm, including any amounts, conditions, or unresolved questions, with the full transcript. See how it compares

Six ways to confirm a hotel policy, and where each one falls short

  1. The hotel's own page

    Works when
The individual hotel's policy and FAQ pages are a useful starting point for parking, pets, check-in times, and payment requirements.
    Falls short
A policy summary may not cover your payment method, room type, dates, or special request. Check your booking terms and contact the hotel about anything unclear.
  2. Booking sites

    Works when
Useful for checking the policies, fees, and cancellation terms shown for the room and rate you're considering. If you've already booked, review your confirmation too.
    Falls short
A general listing may not answer a question about your particular stay. If the hotel's answer differs from your booking confirmation, ask the hotel and booking provider to clarify the difference in writing.
  3. Recent reviews

    Works when
Search reviews for "parking" or "deposit" to see what guests actually paid.
    Falls short
Policies change, and one guest's experience isn't a rule.
  4. Email or message the hotel

    Works when
Useful when you want an answer you can refer back to. Send your dates, relevant booking details, and specific questions through the hotel's official email or an available hotel or booking-platform messaging service.
    Falls short
Replies may take time. Check that the response addresses your stay and clearly distinguishes a confirmed arrangement from a request that's still subject to availability.
  5. Call the front desk

    Works when
Useful for clarifying how the hotel's policy applies to your stay. Confirm that you've reached the property, explain your situation, and ask for the appropriate team if needed.
    Falls short
Some numbers route to central reservations first. A verbal answer or a note on your booking doesn't necessarily mean a special request has been approved. Ask what's confirmed and what still depends on availability.
  6. Have Callio make the call

    Works when
Useful when you'd rather describe your questions in writing than make the call yourself. Give Callio the hotel, your stay dates, and the details relevant to your question. It asks about the policy and follows up on unclear answers, then returns a summary and the full transcript.
    Falls short
Calls to businesses require Callio Premium. Callio can work through short phone menus, but some numbers don't reach staff at the property. The answer still depends on what hotel staff can confirm; check whether a special arrangement was approved or only requested. Calls are in English, to US hotels.

Why the policy page may not cover your situation

Hotel policies can vary by property, while some conditions depend on your room, rate, stay dates, or membership benefits. A short website summary may not cover every case. Early check-in also depends on whether a room is available, unless the hotel has specifically confirmed an arrangement. Ask how the policy applies to your stay, and get important details in writing.

What to ask the front desk

Whether you call or Callio does, share your stay dates and relevant booking details, then ask for the amounts, conditions, and confirmation status that matter to you.

  • Parking: the self-parking or valet price, whether tax is included, in-and-out privileges, and any vehicle size restrictions.
  • Incidentals: whether the hotel places a temporary card hold or charges a refundable deposit, the amount per night or per stay, and the total required for your visit.
  • Debit cards: whether they're accepted at check-in, whether different amounts or conditions apply, and when the hotel releases the hold or processes a refund. Your bank may take additional time to make the funds available.
  • Early check-in or late checkout: the time you need, any fee, and whether it can be confirmed in advance or remains subject to availability.
  • Pets: which pets are allowed, number and weight limits, any room restrictions, and whether the fee is per pet, per night, or per stay.
  • Check-in requirements: the minimum age, required ID, and payment-card requirements.
  • Resort, destination, or amenity fees: the amount, what's included, and whether the fee is already included in your quoted total.
  • Confirmation: note the staff member's name and the date. Ask for important details in writing and, if you have a reservation, ask for confirmed arrangements to be added to it.

Real call

A real hotel policy check

A Callio user needed a hotel's debit-card deposit and minimum booking age. This is the call as the app showed it.

Hi! Can you tell me the incidental deposit amount required when using a debit card for a two to three night stay, and also confirm the minimum age needed to book a room?

  5. Business

So it must be twenty one to book a room, and then it's twenty dollars per night for incidentals.

  6. Callio

Great, so it's twenty one to book and twenty dollars per night for incidentals. Thank you!

The kind of question a website never answers and a front desk answers in one breath.

What a phone answer is, and isn't

It's what the hotel told you for your dates. Early check-in often can't be promised until the day, and a policy can change. Callio reports the amounts and conditions the hotel gave, and the transcript shows exactly what was said, which is useful if the desk at check-in says something different.

Questions

Hotel policies, answered

Why is a hotel's deposit different with a debit card?

A hold on a debit card ties up money in your account until it's released, and some hotels ask for a larger amount, or don't accept debit at check-in, because of that. Rules vary by property and rate, so ask the hotel you're booking, and ask when the hold is released.

Should I call the hotel or the brand's reservation number?

Usually the hotel itself, using the number on its official page or your booking confirmation. A central reservations line can book rooms but may not know how this property applies a policy to your stay.

Can Callio ask for early check-in?

It can ask whether early check-in is possible for your dates and what it costs. Many hotels can only confirm it on the day, and Callio reports whatever they say.

Will Callio give the hotel my card details?

No. Callio only has the name and phone number in your profile, and it doesn't set up calls that need a payment.

Is Callio free?

You can try a free practice call to your own phone. Calls to businesses need Callio Premium, a subscription billed through the App Store or Google Play, with unlimited calls to businesses.
